Privacy Policy

This policy explains what information Solavellum collects, how it is used, and the choices available to you. It applies to the Solavellum application at internal.solavellum.com and to this website.
Who we are
Solavellum provides transaction compliance software to real estate brokerages. Our customers are brokerage companies. Individual users — agents, transaction coordinators, brokers, and administrative staff — are given access by the brokerage that employs or sponsors them.

Information we collect
- Account information. Name, email address, phone number, office assignment, role, and professional license details supplied by you or by your brokerage.
- Transaction content. Documents, form responses, signatures, notes, and related files that users create or upload while working a transaction file.
- Communications. Email and text messages sent through the application in connection with a transaction, and their delivery status.
- Usage and security records. Sign-in events, IP address, browser and device information, and an audit record of actions taken inside the application.
- Connected storage credentials. If you connect an external storage account, the access credentials issued by that provider and the identifier of the destination folder you select.
Public license information
To confirm agent licensing, Solavellum retrieves records from publicly available regulatory sources, including the Texas Real Estate Commission. We store the licence number, licence status, expiration date, and first-licensed date. We do not store disciplinary or legal history.
How we use information
- To operate the application and make transaction files available to the people authorised to work them.
- To determine whether a file is complete and to record who did what, and when.
- To generate, fill, and deliver completed documents.
- To send transaction-related notifications by email and text message.
- To secure the service, investigate misuse, and meet legal obligations.
We do not sell personal information. We do not use customer transaction content for advertising, and we do not use it to train machine-learning models.
Google user data
If an administrator connects a Google account so that completed documents can be filed to Google Drive, Solavellum requests the https://www.googleapis.com/auth/drive.file permission only.
- What we access. Only the destination folder you select through Google's own file picker, and the files Solavellum creates inside it. We cannot see, search, open, or list any other file in your Google Drive.
- What we do with it. We write completed transaction documents to the folder you chose. We do not read your existing Drive content.
- What we store. The refresh token issued by Google, encrypted at rest, and the identifier and name of your chosen folder. Nothing else from your Google Account is stored.
- How to stop it. Disconnect the account inside Solavellum, or revoke access at myaccount.google.com/permissions. Revoking access deletes our stored token and ends future deliveries.
Solavellum's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data received through Google APIs is not transferred to third parties except as necessary to provide the delivery feature, is not used for advertising, and is not read by humans except with your explicit permission, for security purposes, to comply with applicable law, or where the data has been aggregated and made anonymous.
Other connected storage
Connections to Dropbox and Microsoft OneDrive follow the same pattern: the narrowest available permission, a destination folder you choose, an encrypted token, and disconnection available at any time from inside Solavellum or from the provider.
Service providers
We share information only with providers that help us run the service, each bound to protect it: cloud hosting and backup infrastructure, transactional email delivery, text message delivery, and payment processing. We may also disclose information when required by law or to protect the rights and safety of our users.
Retention
Transaction records are retained for as long as the brokerage's account is active, and afterwards for the period the brokerage's record-keeping obligations require. A brokerage may request export or deletion of its data by contacting us. Individual users should direct access and deletion requests to their brokerage, which controls the account.
Security
Data is encrypted in transit. Credentials for connected storage accounts are encrypted at rest. Access inside the application is scoped to a user's own office, and administrative access is limited to personnel who need it to operate the service. No system is perfectly secure, and we will notify affected customers of a breach as required by law.
Your choices
- Disconnect any connected storage account at any time.
- Request a copy of, correction to, or deletion of your personal information by writing to privacy@solavellum.com.
- Opt out of non-essential text messages by replying STOP.
Children
Solavellum is a business application and is not directed to anyone under 18. We do not knowingly collect information from children.
Changes
If this policy changes materially, we will update the date above and notify account administrators before the change takes effect.
